Privacy Policy
Last reviewed for the current school year
Vedasto R. Santiago High School (“the School”) operates VEDA PORTAL to deliver its academic services to students, faculty, and staff. This Privacy Policy explains what information we collect, how we use it, and the choices you have. We handle personal data in accordance with the Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules.
Information We Collect
We collect only the information needed to run the school's academic services, including:
- Identity and profile details — full name, Learner Reference Number (LRN), email, username, and profile photo.
- Contact and guardian details — contact number, home address, and guardian name and contact.
- Academic records — grades, attendance, class schedules, enrollment, and learning-material submissions.
- Support and monitoring data — Decision Support System (DSS) alerts, consultation records, and messages you send through the portal.
- Basic technical data — sign-in activity and audit logs used to keep accounts secure.
How We Use Your Information
Your information is used to provide and improve the School's services: managing enrollment and class lists, recording grades and attendance, delivering learning materials, monitoring academic progress through DSS alerts, facilitating consultations, and communicating important updates. We do not use your information for advertising, and we do not sell it.
Data Sharing
Access is limited by role. Teachers and curriculum chairmen see only the students in their assigned classes or grade level; administrators manage the system as a whole. We share personal data outside the School only when required by law, requested by the appropriate government agency (such as the Department of Education), or when you give consent. Any service providers that help operate the portal are bound to protect your data and use it only for that purpose.
Student Records & Minors
Many of our users are minors. Student records are treated as confidential and are accessible only to authorized school personnel and, where appropriate, the student and their guardian. Guardians may coordinate with the School regarding their child's records.
Data Protection & Retention
We apply reasonable organizational and technical safeguards — including role-based access, password protection, and activity logging — to protect your information against unauthorized access, loss, or misuse. Records are kept for as long as needed to serve their academic and administrative purpose, or as required by law.
Your Rights
Under the Data Privacy Act, you have the right to be informed about, access, and request correction of your personal data, and to raise concerns about how it is handled. To exercise these rights, contact the School through the Contact Support page.
